Administration Assistant (Apprentice)

Vianet presents an exciting opportunity to join our Central Support Service (CSS) team as an apprentice. In this role, not only will you provide efficient and effective daily support to all employees and visitors, but you’ll also have the opportunity to gain a valuable qualification. This apprenticeship offers a pathway to develop essential skills and knowledge in various areas of business operations, including travel, vehicle fleet management, building maintenance, administration, and front-of-house reception. It’s an excellent developmental role that provides hands on experience across all aspects of business administration and the chance to earn a recognised qualification setting a solid foundation for a successful career.


Key responsibilities will include:

  • Provide a first class administration service to the business
  • Provide professional support to reception and front of house welcome
  • Preparation of meeting rooms to ensure that those using the facilities have all required tools and facilities to ensure they have the best meeting experience
  • Answer all calls are answered professionally in a timely manner – within 5 rings where possible
  • Focus on reducing any unnecessary spend around the business where possible to contribute to the annual cost saving target
  • Deal with all fleet administration matters in a timely manner so as to avoid engineer downtime, to keep costs to a minimum and always remember our duty of care to the driver
  • Deal with all travel administration matters for all ‘customers’ of CSS, including sourcing the best rate available for all travel bookings, making sure we do not compromise on cleanliness and comfort
  • Build a reliable and trustworthy relationship with all staff and customers
  • Maintain up to date records of current fleet vehicles on MID and spreadsheets
  • Monitor fleet vehicle accounts such as toll roads and congestion zones to ensure they are up to date and in credit


There are some essential skills and experience you will need to have:

  • Customer focused approach
  • Reception and administration experience desirable
  • A can do attitude, going the extra mile to provide a flawless service to all our employees and customers
  • Knowledge of Microsoft Word, Excel and Teams, with the willingness to develop further
  • Excellent verbal and written communication skills.
  • Excellent organisation skills, with a good attention to detail.
  • Ability to work on own initiative.
  • A team player who wants to excel
  • Adaptable and flexible
